(8) RESTRICTION ON LOCATION OF PRODUCTION FACILITIES: All production facilities used in the
manufacture of the product(s) ordered under this contract must be located within a 25-mile radius of the Houston, TX. Any bidder intending to use production facilities outside this area should furnish information, with the bid, which will on its face demonstrate ability to meet the schedule requirements. The determination by the Government of the acceptability of this information in no way relieves the successful bidder of the responsibility for compliance with these schedule requirements.

We British Columbia, Canada based organization looking for expert vendor for Document & Records Scanning. The term of the contract is will be of 2 years with the possibility of renewal for one further year based on satisfactory performance of Service Provider.

(1) Service Provider will be required to convert various documents into electronic format.
(2) VOLUME: The volume of work may vary from 1 to 15 banker boxes of material per month or more depending on available funding.
(3) The services to be provided by Service Provider include document and media delivery and pickup, document preparation, image capture, image processing, control inspection, duplication, preparation of the media, and conversion to portable document format (.PDF) with optical character recognition (OCR) behind the image.
(4) The documents are to be scanned at a minimum of 400 dots per inch for black & white and 200 dots per inch for grayscale and color.
(5) Reports are to be captured as tiff images (version 7.0), CCIT Group IV compression, Joliet standard filenames, and converted to Adobe Acrobat current version portable document format (.pdf).
(6) Optical Character Recognition (OCR) is to be performed on the text with the following .pdf options: i) original images with hidden text, ii) down sample images.
(7) The product shall be delivered on DVD as .pdf reports supplied on DVD+/-R media (phthalocyanine based dye, gold based reflective layer) written in IS0 9600 format, and byte by byte verified against the original scanned image files.
(8) Any documents that, in our sole opinion, require re-scanning due to defects will be done by Service Provider at its own expense, including pick-up and delivery.
(9) Turn-Around Time: Each batch will be allowed offsite for a period not to exceed three weeks. Some material is confidential and unique and cannot leave the Victoria/Vancouver area. Some reports or documents may require immediate turnaround times of less than 24 hours.
(10) Site Visit to Examine Documents: Service Providers are advised to arrange a time with our Contact Person to view the documents to be scanned and converted.
[D] Work Performance:
