[B] Scope of Service:

(1) Vendor needs to provide travel agency management services in conjunction with business travel to the government authority located in Topeka, KS.
- General Travel Management comply with the states travel policies, when booking travel for travellers, communicate via email or the online reservation system any travel industry changes to each state entity monthly or sooner if they are immediately affected, verify rates and schedules before traveller’s departure date for all tickets issued.  in the event carriers reduce fare, or the entity has negotiated a lower rate, contractor will search out affected tickets and reissue them at a lower rate but inclusive of all change related fees and costs, if applicable per the states travel policy, work with entities and travellers to track frequent flyer or reward numbers if provided by the traveller, void tickets within the 24-hour window if allowed by the airline policy, while following the requirements of the airline reporting corporation (arc), supporting contracts shall be the first options(s) offered to travellers, including acceptance of required forms of payment per contract terms and conditions, shall have the ability to hold travel reservations for 24 hours.
- Online Booking Tool to make available multiple booking tools that are fully supported and maintained for entities to choose from for use, each booking tool must be recognized industry-wide, non-proprietary tool with access to the global distribution system, each tool shall allow real time search and booking 24/7 capabilities on any computer with internet access, phone and other mobile devices,  at a minimum each booking tool must have the following other functions available allow booking of air, car, rail and hotel, designate preferred carriers, allow internet far search, allow profile maintenance, personal and shared trip templates, able to comply with each entities travel policies, the booking tool must be configurable to show entities contracted rates for other travel services if applicable, rental car and lodging rates must be identified on each booking tool, if the rates are a contracted rate, or if ehas a contracted rate that needs to be considered first and permit one-way, round trip, multi-segments, cloning, and multi-traveller reservations.
- Toll-free telephone service shall be provided during the normal hours of operation for the geographical state, customer service shall be provided for all entities during the hours of 8:00 am to 5:00 pm., after hours agent shall be available 24x7/365 and have access to all of the entities, traveller information and be able to assist with and book travel.
(2) All question must be submitted no later than May 02, 2019.
