[B] Scope of Service:

(1) Vendor needs to provide document imaging and indexing of legacy and current confidential documents, as well as destruction of the documents once imaging is complete.
• The imaging process will involve using the offeror’s own hardware and software. The images must be of viewable quality and of a file type consistent for use in viewing in DPS technical solutions. Resolution of the images shall be 300 DPI or better. The file type shall be PDF as an image, not a form or in an editable format.
• The majority of the images are of standard letter size. However, there are legal size documents and larger, 17.5” x 11 inch and larger in the form of building diagrams and more.
• Adequate staff levels shall be maintained to complete the identified scanning and indexing requirements
• Provide a secure and safe environment to store documents while in possession.
• Provide images of scanned documents accompanied by a control table/file associating indexes to the image files.
• Return images in the PDF format previously described
• Return the control tables/files in format that can be easily imported into MS SQL Server. Tables and files must be returned through a secure method via a physical storage device or transmitted via a secure digital method meeting FIPS 140.2.
(2) All the questions must be submitted no later than January 8, 2021
