[*] Scope of Service:

Vendor needs to provide scanning and indexing services.
- There are approximately 211 Index books that must be scanned, the names indexed, and uploaded into Landex. The Index books include but are not limited to Mortgagor Index, Grantee Index and Grantor Index books. There are approximately 150,000 pages that must be scanned. Each Index book contains approximately 700 pages. Once scanned, the entries of each page must be indexed. The indexing is to include the names of both parties, the municipality, the recording information including document type. All index data must comply with Landex import requirements. he scanned books and index data will be imported into Landex to provide a fast and accurate means to search and retrieve images.
- Scanning
The bound and unbound index books range in size up to approximately 19”H x 15” W. The bound books shall remain bound and all the information must be captured during scanning. It is imperative that the scanning provides a high-quality representation of the original Index book. To achieve this, the following formats must be used depending on the index book quality:
a. 200 DPI Grayscale -TIFF(JPG) Compression
b. 300 DPI Bitonal- TIFF Compression
c. 300 DPI Grayscale – TIFF(JPG)Compression
- Indexing
The vendor must create index data for each page or group of pages based on the index format of each book. The Index books use the Lusk 3 letter System. The vendor must perform 100 % verification of the index data. Vendor must format the image name and index data to comply with Landex import requirements. Vendor must work with Landex to resolve non- standard index formats or any other issues
