Vendor needs to provide litigation scanning services
- The contractor is to prep all originals for scanning (i.e. removing staples, paper clips, rubber bands and other binding methods).
- The document boundaries should be the smallest physical boundary inside the box such as envelope, file folder, staple, clip, etc.
- Scan all documents in black/grayscale, if necessary for legibility scan in color
- Scan all documents at a 1:1 ratio at minimum 300 dpi. Contractor to ensure that if pages must be rotated, they are to open at 100%.
- Loose papers should be scanned as an individual PDF file.
- Binder clipped pages or documents should be its own PDF file.
- Any Binder with writing on the cover should be captured. Binders should be its own PDF file. Reassemble Binders after scanning.
- Any Folder with writing on it should be captured. Folders with documents inside should be its own PDF file. Reassemble Folders after scanning. - The contractor is to create a main PDF descriptive index that correlates with each specific box number, folder, descriptive document image file names, and the logical beginning/ending of documents/files brakes in the collection. All identifying fields must reflect file folder information.
