[B] Scope of Service:

(1) Vendor needs to provide microfilm and scanning services include pickup of documents for scanning and converting to 16-millimeter (mm) microfilm roll and PDF files on DVD.
- Upon assignment by microfilm coordinator, contractor shall pick-up an external USB hard drive which contains (PDF) images of Caltrans Highway Plans, Maps, Contract Plans, and Agreements to be converted into aperture cards.
- Pick-up of the external USB hard drive, contractor shall create silver halide microfilm aperture cards and perform the following services: card unitizing, keypunching, interpreting, quality control, verifying, separating, digitizing PDF images on digital versatile disk (DVD), proofing and return delivery to headquarters.
- Contractor shall digitize the agreements in PDF format on DVD.
- Services for each assignment, contractor shall deliver one original silver halide 16mm microfilm roll, one duplicate diazo 16mm microfilm roll with cassette, and one DVD.
- Approximately volume:
1. Microfilm and Scan Highway plans, Maps and AS - Built
- 21,000 - Aperture card creation: microfilming, processing, unitizing, keypunching, interpreting an Interpreting and quality control
2. Microfilm and Scan Agreements
- 50,000 - Scan 8 ½ X 11 agreements
- 50,000 - 16mm roll film of scanned agreements
- 20 - Duplicate of roll film (60,000 images and 2000 Images per roll = 30 rolls)
- 20 - Digitized PDF format on DVD
(2) All the questions must be submitted no later than May 29, 2022
