[*] Scope of Service:

(1) Vendor needs to provide paper to digital document scanning, indexing and conversion service.
- Vendor shall perform scanning and indexing of paper records to digital format.
- All processes must include quality assurance of scanned or converted images.
- Paper records shall be scanned at 200-300 dpi in portrait mode, blank pages eliminated programmatically, deskewed, despeckled, and cropped.
- A separate index file must be provided in a pipe-delimited format to allow import into a document management program.
- Vendor shall provide data entry per keystroke for indexing of individual files.
- Vendor shall provide data entry indexing at no charge for data merged from existing database.
- It will provide a database of student information to assist with indexing. This may be changed to accommodate the district’s needs. Additional documents will be provided which will contain an inventory of boxes with pertinent information and name lists, which can be used as cross-reference when indexing.
- Indexes of all scanned files will include school year, school, student ID, last name, first name, and date of birth. This information will be available from the database, the individual files, or from other files provided at the time of pick up.
- Images created from existing microfilm will be indexed by roll to include school year, school, student ID, last name, first name, and date of birth.
(2) Approximate work volume will be 320,000 documents from 112 schools for inactive and graduate files.
(3) It is preferred that all operations will be performed within the metro atlanta area, but will consider vendors within 350 miles of the agency records management office with secure, company-operated transportation.
(4) All question must be submitted no later than July 20, 2022.
