[*] Scope of Service:

(1) Vendor needs to provide document scanning services using scanning resolution at 600 dpi in PDF, TIFF, and JPG file format.
-The records include but are not limited to plans (e.g., building, grading, electrical, plumbing, mechanical, and sewer), reports, specifications, and calculations that are rolled, folded, and bound.
- Each PDF file will contain the document images of the plans or groups of plans identified during the indexing process. Double-sided documents must be scanned on both sides resulting in two document images.
- Each PDF file must follow a predetermined naming convention and tagging and indexing procedure to create documents that are searchable and compatible with a document management system.
- The city must have access to all documents outsourced for scanning upon request, with a hard copy or electronic file provided within 24 hours.
- Duplex scan documents to capture both front and back of document where needed.
- Images must be oriented correctly for viewing.
- Documents indexed with up to 10 fields. Indexing sources may include scan sheets, file folders, and image verification.
- Documents must be stored and available 24/7 online and accessible to public for quick reviewing and retrieving of files in PDF format.
(2) Anticipated volume would be approximately 450,000 to 500,000 images per year.
(3) All questions must be submitted no later than September 5, 2022.
