[*] Scope of Service:

(1) Vendor needs to provide document scanning and digitization services using scanning resolution of 300 dpi at PDF/A file format.
- Agency works with hardcopy files and legal records daily and in efforts to modernize and automate approaches to the creation, organization, management and delivery of content, the digitization of hard copy records has become a priority.
- Provide on an as-requested basis, the scanning and digitization services to other program areas.
- Part One: Real Estate Digitization Project
- Real Estate team has a high-volume of hard copy records that require scanning and digitization and will be prioritized to be completed as part of Phase One.
- Part Two: Ad-Hoc Services
- Provide a unit rate to scan and digitize records for the ad-hoc services that will be completed as part of Phase Two.
- Vendor shall scan the hard copy records and enter the index data for each scanned file in its digital format. The index data will allow the scanned documents to be searchable.
- At the completion of the project, the Vendor shall provide all scanned records in PDF/A format on external USB hard drives
- Documents contain confidential records and are to be secured by the Vendor at all times. Once scanning is complete, each document must be immediately returned to its original location.
- Provide offsite scanning on an as-requested basis for paper records that are larger than 11”x17”.
- Provide an index file of all records that are to be scanned offsite. These will be batched in the same order as they are to be scanned and digitized.
(2) All questions must be submitted no later than October 27, 2022.
(3) The contract period will be for two years.
