[*] Scope of Service:

(1) Vendor needs to provide document scanning services.
- This contract supports the Phoenix Strategic Plan, under the study area of Technology, specifically, to increase operational efficiency through constant innovation; “Encourage development and use of computer-based business analysis processes and tools to more efficiently manage business data as well as help identify trends and innovations that impact customer service delivery.”
- Indexing / Data Entry: The Contractor shall have a variety of indexing capabilities including, but not limited to barcode index capture, data entry, and double key data entry, zonal OCR (optical character recognition), multi-level indexing, web-based search and retrieval system, etc.
- Scanning / Data Capture / Imaging: Electronic Images shall be produced in the agreed upon, non-proprietary format (e.g., PDF, TIFF, JPEG). The image format shall be determined by the Customer
before any work begins on the project.
- Electronic images shall be accessible, searchable and downloadable via cross platform products (e.g., Adobe Acrobat).
- The Contractor shall be able to scan every page (either simplex or duplex) and create digital images. Scanning Resolution dots per inch (DPI) shall be selected by the Customer to meet the job’s need.
- Document – One or more pages that is usually bound in some fashion (e.g., an annual
report). Document can also include but not limited to photo, tape, video, audio, blueprint, chart, text, etc.
- The Contractor shall be able to scan every page (either simplex or duplex) and create digital images. Scanning Resolution dots per inch (DPI) shall be selected by the Customer to meet the job’s need.
- The Contractor shall not scan or image blank documents, nor shall the Contractor charge the Customer for scanning or imaging blank documents.
(2) A non-mandatory pre offer conference November 28, 2022.
(3) All question must be submitted no later than December 5, 2022.
