Vendor needs to provide mail digitizing and scanning solution.
- The Mail and Reproduction Management Division (MRMD) is responsible for managing and directing programs through Mail and Reproduction Services (MRS), for analysis, development, evaluation, and promotion of improvements in the policies, plans, methods, procedures, and systems of the Mail Management Program, Departmental Mailing List System, and Copier/Duplicating Operations.
- The mission of Mail and Reproduction Services is to provide its customers with unparalleled services in mail delivery and management; messenger and chauffeured services; and print management; utilizing staff and resources effectively and efficiently with accountability.
1. To convert had copy mail envelopes (front & back) into a deliverable digital format – (300 dpi color)
2. To convert hard copy mail content into a deliverable digital format - (300 dpi color)
3. Has automated tracking and accountability records for each piece of incoming mail and –
4. Automates historical documentation - cradle to grave
5. Tracks mail status and location progression in a real time arena
6. Provides the customer with the tools and ability to determine the outcome of owned mail pieces, both hard copy and digital format
7. Identifies and separates unwanted (junk) mail
8. Reduces the amount of unwanted mail from the daily mail stream
9. Generates automated tracking and accountability reports of metric measurements for Service Levels (SLA)
10.Reduces hard copy mail delivery and processing timelines
11.Provides employee accountability and status ownership
12.Enables the customer (recipient) to receive mail in a digital format from compatible electronic devices
13. Allows the online users to effectively access the content (text, images, graphics) from the system using a variety devices and screen sizes (e.g., desktop, or if feasible tablet and mobile)
14.Identifies and processes the incoming mail on a priority customer base level
15.Identifies and processes the incoming mail on a priority Agency/Division base level
16.The provision of training and ongoing support
