(1) Vendor needs to provide records scanning and formatting services to fully scan and digitize existing digital archive of all stored records in searchable PDF file format.
(2) Approximate work volume will be
1. On-site scanning
- 391,600 pages [89 boxes (4400 pages per box)]
- 352,000 pages [80 boxes (4400 pages per box)]
2. Off-site scanning
• Special education records
- 756,800 pages [172 boxes (4400 pages per box)]
• Student cumulative records
- 3,141,600 pages [714 boxes (4400 pages per box)]
• Fiscal records
- 1,289,200 pages [293 boxes (4400 pages per box)]
• Risk management records
- 167,200 pages [38 boxes (4400 pages per box)]
• Purchasing records
- 79,200 pages [18 boxes (4400 pages per box)]
3. Ongoing scanning
- 110,000 pages [25 boxes (4400 pages per box)]
(3) All questions must be submitted no later than January 23, 2023.
(4) Contract term will be three years.
